HP Solve, by HydroPro Solutions

Privacy Policy

Last updated October 13, 2026

HydroPro Solutions ("HydroPro", "we") makes HP Solve, software that utilities and local governments use to track their assets and everything that happens to them. This policy explains what information we collect when you visit our website or use HP Solve Asset Tracking, what we do with it, and the choices you have. Questions about it go to support@hp-solve.com.

What this policy covers

This policy covers the public pages at hp-solve.com and the HP Solve Asset Tracking product, including the free trial. Customers who use other HP Solve modules under a separate written agreement receive that agreement's own data terms and list of service providers, which take precedence for those modules.

What we collect

We collect three kinds of information, and we treat them differently.

  • Account information. When you start a trial or are invited to an organization: your name, email address, organization name, and a password. Passwords are handled entirely by our sign-in provider, PropelAuth, as a one-way hash. We never see or store your password. The trial signup form also asks, optionally, how you heard about us.
  • Your organization's data. Everything your team puts into HP Solve: the assets you track, the forms you design, the events, inspections, work orders, locations, photos, documents, and video you record against them, and who on your team did what and when. This data belongs to your organization. We process it only to run the service for you, and we never sell it, share it with advertisers, or use it to build products for anyone else.
  • Technical and usage information. Our servers log the network address, browser, and pages requested, the way every web server does, to keep the service running and to investigate problems and abuse. Inside the product we use Vercel Web Analytics, which counts page views and performance without cookies or any identifier that follows you across sites.

When you contact us through the support form or the pricing inquiry form, we keep what you send us so we can answer and follow up.

How we use it

  • To provide, operate, and support the service you asked for.
  • To tell you about your account: trial status, invitations, alarms and notifications you set up, and changes to the service or these terms.
  • To answer questions and inquiries you send us, and to follow up with prospects who visit our public pages.
  • To keep the service secure, including screening public forms for automated abuse.
  • To bill paying customers.
  • To improve the product, using aggregate measurements that do not identify a person or an organization.

We do not sell personal information. We do not show advertising. We do not use your organization's data to train machine-learning models.

Optional AI features

HP Solve can draft a form or suggest event types from a short description you type. When you use one of these features, the text you typed, together with the name and field list of the form being extended, is sent to Anthropic to generate the draft. Nothing else is sent: not your asset records, photos, documents, or locations. Anthropic's commercial terms prohibit using those inputs to train its models. The features are optional; nothing is sent unless you click to use them.

Who processes it for us

We run HP Solve on established infrastructure providers rather than our own servers. Each one handles data only to perform the service described, under its own security program. Their attestations are theirs, not ours; see our security page for what that means.

Our public marketing pages, and only those pages, also load the following visitor analytics. None of them runs inside the product, so none of them ever sees your organization's data.

  • Vercel Web Analytics Page views and Web Vitals. Cookieless; no cross-site identifier.
  • Google Analytics 4 Traffic sources and time on page for the marketing pages.
  • Lead Forensics Identifies the organization behind a visitor's network address so we can follow up with prospects. It does not identify individuals.

Beyond these providers we disclose information only when the law requires it, to protect the rights or safety of our customers or the public, or as part of a merger or sale of the business, in which case this policy continues to apply to the information transferred.

Where it is stored

Your organization's records are stored in the United States. Photos are stored and resized by Cloudflare Images, and documents and video by Cloudflare R2 and Stream; Cloudflare's storage is distributed and we do not currently pin files to a region. If you need all data held in a specific jurisdiction, tell us before you subscribe.

When our staff can see your data

HydroPro staff look at your organization's data only to provide support you asked for, to investigate a problem you reported, or to resolve an incident affecting the service. They do so through named staff accounts, never by joining your organization as a member, and they look only at what the request needs. The full policy, including emergency access, is on our security page.

How long we keep it

  • Free trials. A trial lasts 30 days. When it ends, your data stays in place for 30 more days in read-only mode, so you can still sign in, export, or subscribe, and everything you added stays exactly where it is. After that the trial is archived and then permanently deleted, along with the sign-in accounts created for it. If you want it gone sooner, email support@hp-solve.com and we will delete it.
  • Paid subscriptions. Your data is kept for as long as your organization subscribes. When a subscription ends we keep the data for 30 days so you can export it, then delete it. We will delete sooner on written request.
  • Backups and logs. Our database provider keeps short-lived backups that expire on their own schedule; deleted data leaves them as they roll over. Server logs are kept by our hosting provider for a limited period and then discarded.
  • Inquiries. Messages sent through the support and pricing forms are kept as long as needed to answer and follow up.

Your choices

  • Export. Assets and events can be exported to CSV from inside HP Solve at any time, by your own team, with no request to us.
  • Correct. Your name and email can be changed from your account settings. Your organization's data is yours to edit.
  • Delete. To end a trial early and have its data deleted, or to delete an account, email support@hp-solve.com from the email address on the account. We confirm the request with you before deleting, because deletion is permanent.
  • Analytics on the public pages. Browser settings and extensions that block third-party scripts stop Google Analytics and Lead Forensics from loading, and the pages work the same without them.

Cookies and local storage

HP Solve uses the cookies required to keep you signed in, set by PropelAuth, and browser storage to remember your preferences such as theme and which view you were on. These are necessary for the product to work and carry no advertising identifier. Google Analytics, on the public pages only, sets its own cookies to tell returning visitors from new ones.

Children

HP Solve is a tool for organizations and is not directed at children. We do not knowingly collect information from anyone under 18.

Changes to this policy

When we change this policy we update the date at the top of this page. If a change reduces your rights or changes how we use your data, we tell account owners by email before it takes effect.
